Your Hotel Information
 

Many functions in Chorum rely on your property's information to fill-in context sensitive templates for reports or automated messages (see Message Manager). While this menu is typically configured prior to your property's first day of operations, it can always be updated after the fact as needed. A few other security and functionality features can also be found on this menu, as detailed below.

Be aware that if you ever intend to update your property's information (such as the property's description (name), address, or phone number), be sure to also send a notification to the Chorum Support team via our Support Center so we may also update the information in our systems. The Chorum database does not notify our data center of any changes, and if left unattended can result in unforeseen conflicts in your property's billing cycles.

To begin, access the GM Functions module. Then, expand the Property Settings folder and open the Hotel Information menu.

The menu populates with any existing information already entered for your site. For a description of each field or option, see the table below.

Field

Description

Hotel Code

Your hotel’s assigned property code. If your property is part of a chain-managed brand, this should reflect the ID that has been provided to your hotel. Otherwise, not the customer code used to log in to Chorum here (though this is not required).

Hotel Name

Your hotel’s full name.

Address Info

Your hotel’s Address, City, State/Province, and Postal Code should match your property’s full street address.

Telephone Number

Your hotel’s primary phone number.

Toll Free

If you have an alternative toll-free number for your property, enter it here.

Fax Number

If you have a dedicated fax line, enter it here.

Email Address

If your property intends to enable email communications in Chorum, this field is required. When Chorum sends an email (receipts, confirmations, etc), this is the address that will be shown on the recipients “From” line.

This email must be the same as the email configured in Email Setup, if any.

Website

If your hotel has a website, add it here. While only www.hotelsite.com is required for this field to work, we recommend entering the full https://www.hotelsite.com address instead.

Time Zone

Set this to match your hotel’s time zone, using UTC zones. When loggable activities occur (posting a transaction, editing a guest’s folio, etcetera), Chorum will note the time stamp the activity occurs relative to the current calendar date and time zone.

Chorum Start Date

This is the “first day” your property began operations and is used by all “to-date” reports to ensure financial reporting is accurate even if your property begins operations in the middle of the year. It achieves this by ignoring all possible dates prior to the start date (though historical data is still otherwise preserved).

This will typically be set when your database goes live with the assistance of the Chorum support team, but in future versions of Chorum this field may have the ability to be changed manually, allowing new owners of a property to retain past guest information while allowing financial reports to start over from the point the new owner took over the property without needing to erase the historical data.

Auto Log-Off Session

This checkbox, when enabled, sets an idle timer on all clerks in Chorum. After the set time period (controlled by the drop-down on the right) has elapsed with no interaction from the user, they are automatically logged off the system.

Enabling this option is strongly recommended for hotels that handle credit card transactions and other types of sensitive guest data, to limit the risk of a security breach in the event a staff member accidentally leaves a workstation unattended and logged in.

Leaving the option unchecked will allow the clerk to remain logged in to Chorum until they completely exit the application by closing the web browser or manually logging out of Chorum in the top-left corner of the menu.
